Connect Google Drive to Cortex
Sync approved Google Docs and Gemini meeting notes, each visible only to the people Drive shares it with.
Google Drive
Content and access
Google Docs that an administrator approves: Docs in approved folders, and individually approved Gemini meeting notes. A doc is visible in Cortex only to the people Google Drive shares it with.
Before you begin
Use Cortex admin access and organization-wide connection requirements, plus these source-specific permissions:
Required
- Google account
Connect with your own Google Workspace account. Cortex reads only what that account can open, with read-only Drive access.
Set up Google Drive
- In Cortex, open Organization → Apps, select Add connection, and choose Google Drive under Source.
- Select Connect, sign in to Google with your work account, and approve read-only access to Google Drive. Cortex returns to Apps after approval.
- Open the connection's Manage menu and select Test & preview. The preview shows a sample of the Gemini meeting notes the account can open.
- From the same menu, select Choose folders to approve folders, or Approve meeting notes to approve individual Gemini meeting notes.
Nothing is read until you approve something. Each organization has one Google Drive connection.
Google Drive scope and limits
Cortex reads Google Docs only, as text. Sheets, Slides, PDFs and other files are not synced. An approved folder covers the Docs in it and in its nested folders, including Docs reached through shortcuts. Removing an approval hides those Docs from Cortex straight away, unless another approval still covers them.
Approve meeting notes lists Docs whose title ends with - Notes by Gemini. In a Workspace that uses another language, Gemini may title its notes differently, so they may not appear in the list; approve their folder instead. Folder and note titles are shown only to the administrator whose Google account is connected.
Google Drive sharing is the security boundary. A doc is visible to a Cortex member only if Drive shares it with them by name, and only if they may also see everyone else it is shared with in Cortex. Sharing with a group, a domain, or anyone with the link does not count. Cortex skips a doc when the connected account cannot share it (view or comment access only) or its sharing list is too long.
The connection sees only Docs the connected account can open. Gemini shares meeting notes with the people invited to the meeting, so notes from meetings the connected account was not invited to are not covered.
Changes sync about every hour, and the sharing list of every synced doc is re-read at least once a day.
Manage this connection
If Google stops accepting the connection, the connection's menu offers Reconnect Google Drive. Revoking the connection removes its synced Docs from Cortex.
See the shared connection management guide for reauthorization and revocation.
